Calendar views
All employees can use Calendar to review dated work. Choose the view based on what you are trying to find.
Choose a calendar view
Section titled “Choose a calendar view”Use All Events when you want one calendar for both task work and scheduled meetings.
Use Tasks when you want the Task Calendar. This view focuses on task work and includes the Unscheduled Tasks side list.
Use Meetings when you want Scheduled Meetings. This view focuses on meetings and includes the Schedule Recurring panel.
Switch the calendar view
Section titled “Switch the calendar view”The toolbar above the calendar switches between day, week, month, list, and multi-month layouts. A time-range control limits the visible hours per day so the calendar focuses on working time.
Filter the calendar
Section titled “Filter the calendar”The Meetings view filters by client, employee, status, and interaction type. The Tasks and All Events views add a priority filter. Filters apply to the visible calendar window.
Find a task that is missing from the calendar
Section titled “Find a task that is missing from the calendar”If a task is not on the calendar, check Unscheduled Tasks in All Events or Task Calendar.
Unscheduled Tasks is a side list next to the calendar. It shows tasks that do not have a scheduled start date yet. Open the task from that list, add the missing schedule details, and then return to the calendar.
Drag an unscheduled task to the calendar
Section titled “Drag an unscheduled task to the calendar”In All Events or Task Calendar, drag an item from Unscheduled Tasks onto a calendar slot to schedule it without opening the task.
Add a one-off meeting
Section titled “Add a one-off meeting”Use this when a meeting needs to be held once rather than on a repeating schedule.
- Open Calendar > Meetings or All Events.
- Select Add (the plus icon).
- Enter a Title and choose a Status.
- Choose a Mode of meeting: On Call, Video Conferencing, or In Person.
- Set an Interaction Type.
- For Video Conferencing or On Call, enter the meeting Link. For In Person, enter the Address.
- Under Add employees, pick the employees attending, then pick the organizer in Choose Organizer.
- Pick the Clients, then add their contacts under Add Contacts.
- Set the Start Date, Start Time, End Date, and End Time.
- Keep Send Invitation on to email the attendees. Optionally turn on Create matching time entry for this meeting.
- Add a Note if helpful, then select Save.
Drag to reschedule
Section titled “Drag to reschedule”Drag a meeting or task to a new slot on the calendar to move it, or drag its edge to change the duration. Moving a meeting prompts a confirmation that includes a re-send-invitation option. Tasks reschedule directly with no confirmation.
See recurring meetings
Section titled “See recurring meetings”Open Calendar > Meetings.
In Scheduled Meetings, use the Schedule Recurring panel to review recurring meeting entries. Select an entry when you need to open its recurring meeting details.
Schedule a recurring meeting
Section titled “Schedule a recurring meeting”Open Calendar > Meetings, then open the Schedule Recurring panel.
In the panel, select Add (the plus icon). The Schedule Recurring form collects the meeting title, attendees, meeting mode, link or address, and recurrence details.
In Set Recurrence, choose Create First Recurring On, add an Expiry Date if the pattern should stop, enter Repeat every, and choose Repeat Type: daily, weekly, monthly, or yearly.
Generated meeting instances appear on the calendar as regular meeting entries.
