Services on a client record
A service on a client record represents a recurring client engagement — such as annual tax returns, payroll filings, HST filings, or custom advisory services — managed in Assisterp. Firm owners, admins, and staff with Clients access can manage client services; if actions are hidden, see Permissions and Visibility.
The Services tab on a client record
Section titled “The Services tab on a client record”Open a client profile (Individual or Business) and select the Services tab. The page displays cards for each service template used by the client. Each table lists the following details:
- Service No: Unique identifier for the service instance.
- Start From: The initial period covered by the service.
- Fiscal Year: The month and day anchoring filing periods.
- Frequency: Reporting interval (such as Monthly, Quarterly, or Annually).
- Tags: Service or slip tags assigned to the service.
- Status: Status indicator (Not Started, Recurring Created, Job Started, or Stopped).
Add a standard or custom service to a client
Section titled “Add a standard or custom service to a client”- Open the client’s Services tab.
- Select Add New Service.
- Under Choose a service template, pick the template for this engagement (for example, HST/GST Filing, T2 Corporate Tax, Payroll Processing, or a custom template).
- Set the Service Start Date for the first period to be covered.
- Confirm the Fiscal Year and select the filing Frequency.
- If the template uses period tags, pick the appropriate Tag.
- Fill any custom Meta Fields configured on the template (such as registration numbers or custom client options).
- Enter optional Notes if needed.
- Select Add Service.
Selecting a template populates the form with allowed reporting frequencies, fiscal year settings, applicable tags, and meta fields configured in Service templates.
Fiscal year and frequency
Section titled “Fiscal year and frequency”- Fiscal Year: Sets the month and day that anchor each filing period (such as December 31). Fixed templates lock this field, while variable templates derive the date from client records.
- Frequency: Defines how often filing occurs (such as Monthly, Quarterly, or Annually for tax/accounting services, or Weekly/Bi-weekly for payroll).
Edit, clone, stop, or delete a service
Section titled “Edit, clone, stop, or delete a service”Action icons on each service row allow managing active services:
- Edit (pencil icon): Opens the edit modal. Template type, Service Start Date, Frequency, Fiscal Year, and Tag become read-only once status reaches Job Started.
- Clone (copy icon): Opens Add Service pre-filled with the row’s values.
- Delete (trash icon): Permanently removes a service. Disabled if status is Job Started or Stopped.
- Disable (ban icon): Stops a service so future jobs do not generate. Moves status to Stopped.
- View Audit (eye icon): Opens the service health audit screen.
Audit service health with View Audit
Section titled “Audit service health with View Audit”Select View Audit on a service row to inspect schedule alignment against fiscal years and reporting frequencies. Summary cards display:
- Expected Periods: Total periods calculated for the service.
- Active Jobs: Number of generated jobs.
- Missing: Periods missing generated jobs.
- Duplicates: Periods containing duplicate jobs.
- Unexpected Future: Jobs outside expected schedule boundaries.
- Next Date Check: Alignment status for upcoming due dates.
Automation and trigger integration
Section titled “Automation and trigger integration”Adding a service initializes its status at Not Started. Automated job generation on a pipeline occurs when the service tag matches an active rule configured in Pipeline triggers.
