Insights and reports

Firm owners, managing partners, and practice managers can use Insights to review client portfolio counts, team workload, invoice performance by account manager, referral counts, logged time by employee, contract counts by client, and payment transactions across the firm.

  1. Select Insights from the left sidebar.
  2. Select a report tab: Client types, Individual, Business, Assigned Members, Invoice, Referred By Client, Referred By Employee, Time Sheet, Contract, or Payment Transactions.

Each tab opens a short list of report rows. Select a row to open its report.

If a tab or the Export icon is missing, see Permissions and Visibility.

The Client types tab lists Personal Only Clients, Corporate Clients, By Nature of Business, Active Clients, and Inactive Clients.

  • Personal Only Clients and Corporate Clients open the same individual and business client lists used elsewhere in Assisterp (see Clients).
  • By Nature of Business lists each business type with a client count. Select an active row to see the businesses of that type — inactive rows can’t be opened.
  • Active Clients and Inactive Clients open a short client list (client code, name, email, and type).

The Individual tab lists New Individual, Active Individual, and Inactive Individual. The Business tab lists New Business, Active Business, and Inactive Business. Both open the same client lists as Client types.

The Active and Inactive reports count only clients whose status is exactly Active or Inactive. A client who is On Hold or Dissolved appears in neither, so the two counts do not add up to every client. To find those clients, filter the individual or business client list by Status (see Clients).

The Assigned Members tab breaks down client assignments by role: Account Manager, Assistant, Bookkeeper, and Communicator. Select a role to see the employees holding it, with a Client Count column. Select an employee to see their assigned clients, listed with columns for that client’s Account Manager, Bookkeeper, Assistant, and Communicator.

Review invoice performance by account manager

Section titled “Review invoice performance by account manager”

The Invoice tab has one report, Report By Account Manager. It lists each account manager with Invoices, Paid Invoices, Partially Paid Invoices, Unpaid Invoices, Overdue Invoices, Overall Amount, Paid Amount, and Unpaid Amount. Use the date control (it starts on Select Date Range) to limit the report to invoices created in a date range. Select an account manager to open their invoice list (see Invoices and payments).

The Referred By Client and Referred By Employee tabs each open a simple two-column list: a name and a referral count. These lists don’t drill down any further.

The Time Sheet tab has one report, Report By Employee. It lists each employee with Total Actual Minutes, Total Actual Time, Total Billed Minutes, Total Billed Time, Total Entries, Start Date, and End Date — it starts on today’s entries; use the date control to widen the range. Select an employee to see their individual entries (Event No., Title, Type, Start date, End Date, Actual Time, Billed Time) alongside a summary card with their name, employee code, email, and the same totals.

The Contract tab has one report, Client. It lists each client’s Client Name, Client Type, and Total Contracts. Select a client to open their contract list — Contract No, Title, Template Name, Start Date, and Status (see Contracts and engagement letters).

The Payment Transactions tab reviews money received and returned across the firm, independent of any one client or service.

Use the filter bar (see Search, filter, and sort firm data) to narrow the report. Transaction Date is required and defaults to the current calendar year to today; you can also filter by Account Manager, Transaction No, Invoice No, Invoice Title, Client Name, Payment Type, Payment Total, Tax, Net, Gross, Extra Charges, Status, Folder Number, and Created At. A note above the summary cards explains that wallet payments are excluded, since a wallet payment reuses money the firm already recorded as received and would otherwise count the same cash twice, and that Total Gross is settled money received, Taxes is allocated proportionally from each invoice, and Total Net is gross minus returned money and taxes.

Eight summary cards cover the selected range: Total Gross, Money Returned, Net Cash Movement, Taxes, Total Net, Average Payment, Settled Transactions, and Needs Attention. Below them, three charts: Money Movement Over Time (gross, returned, taxes, and net, by period), Payment Methods (by how clients paid), and Transaction Status (by transaction status). A paginated Transaction Details table lists each transaction’s number, invoice number and title, client name, payment type, payment total, tax, net, gross, transaction date, extra charges, status, folder number, account manager, assistant, and created date.

Select the Export icon to download the table. Unlike other Insights exports, this one has no All Records / Filtered Records choice — it always exports the current filtered view, capped at 1,000 records.

Select the Export icon in the action bar to open Download File. Choose All Records, or Filtered Records if you’ve filtered the list first, set how many records to export, and choose Excel (the default) or JSON under Select Format. Select Download.
