Recurring tasks and task templates
Admins, team leads, and employees with task access use the Task page to repeat work or create tasks from a saved pattern. If Recurring Tasks, Template, or an Add control is hidden, ask an administrator to review your access in Permissions and Visibility.
The Task page has three tabs: Tasks, Recurring Tasks, and Template.
Set up a recurring task
Section titled “Set up a recurring task”Use a recurring task when the same work should be created on a schedule.
- Open Task.
- Open the Recurring Tasks tab.
- In the action bar, select Add (the plus icon).
- Complete the task details, including the client, task title, assignees, priority, files, required forms, and any other fields your firm uses.
- In Set Recurrence, choose Create First Recurring On.
- Add an Expiry Date if the recurring task should stop after a certain date.
- Enter Repeat every.
- Choose Repeat Type: daily, weekly, monthly, or yearly. Weekly patterns let you choose weekdays. Monthly patterns ask for a day of the month. Yearly patterns ask for a month and day.
- Add the start time and end time.
- Select Save.
The recurring task form is separate from the normal Add Task flow. Use the regular Tasks tab for one-time tasks, and use Recurring Tasks when Assisterp should create future task instances from the schedule.
Recurring tasks are also different from subtasks. A recurring task creates new work on a repeating schedule. A subtask breaks one task into smaller pieces. For that workflow, see Tasks and subtasks.
Create a task template
Section titled “Create a task template”Use a task template when you want to reuse the same task structure for different clients.
- Open Task.
- Open the Template tab.
- In the action bar, select Add (the plus icon).
- Enter the Template Title.
- Enter the task title.
- Add dates, files, required forms, assignees, and the other task details your firm wants saved in the template.
- Select Save.
Keep templates specific enough to save time, but not so specific that staff have to remove details every time they use one.
Use a task template to create tasks
Section titled “Use a task template to create tasks”- Open Task.
- Open the regular Tasks tab.
- Open the template action from the action bar.
- Choose the template.
- Choose one or more clients.
- Select Add.
Assisterp creates tasks from the selected template for the selected clients. Review the new tasks after creation so client-specific dates, assignees, files, and forms are correct.
