Search, filter, and sort firm data

Firm staff, practice managers, and administrators can use search, filtering, and sorting to navigate high-volume client rosters, pipeline boards, invoice registers, and task queues.

The search box in the top navigation bar is a quick-jump shortcut list, not a search across your client, job, invoice, or task records. Press Ctrl+K (Cmd+K on Mac) to jump to it. As you type, it matches against a fixed set of navigation shortcuts — Contact Add, Contacts List, Individual Add, Individuals List, Business Add, Businesses List, Group Add, Groups List — filtered to the ones your permissions allow, and takes you straight to that page. It does not return client names, invoice numbers, job titles, or task titles.

Each primary module table (such as Clients, Invoices and payments, or Tasks and subtasks) has its own search input. Type a keyword to narrow the visible rows to that module’s records.


Every module list uses the same filter mechanism: quick filters as one-click shortcuts above the table, and a filter bar where you add a specific condition that appears as a chip and narrows the list until you remove it. The fields available differ by module, so use each module’s own article for the specifics:

  • Clients — status, tags, account manager, assigned member, business type, marital status, date of birth, and created date, plus quick filters like My Clients or Active Clients.
  • Jobs and pipelines — the Jobs list filters by pipeline, client, status, priority, stage, assignees, and date ranges, plus quick filters like My Jobs and Overdue.
  • Invoices and payments — invoice number, client, dates, amounts, payment status, invoice status, retainer flag, and account manager, plus quick filters like Due Today and Overdue.
  • Tasks and subtasks — priority, interaction, task status, tags, assignees, client, and a date range.
  • Time Sheet — tags, date range, billable time, and client.
  • Employees — name, email, phone, gender, status, and date of birth.

Contacts, individual clients, and employees each have a date of birth filter that can match on the month, day, and year separately, so you can find everyone born in a given month or on a given day regardless of birth year — not only a specific date range.

The Pipelines board under WorkFlow — the stage-column view of jobs — is separate from the Jobs list and has a smaller, different filter set: a text search, a year dropdown, a date range picker, and a client selector. It does not have the assignee, priority, or stage filters that the Jobs list has; use Jobs and pipelines for those.


Sortable column headers show a pair of small arrows. Select the up arrow to sort ascending (A-Z, oldest first, lowest amount) or the down arrow to sort descending. Columns without arrows cannot be sorted.

When one column is not enough — for example, account manager first, then due date:

  1. Select Sort in the action bar.
  2. Choose a Column.
  3. Choose Ascending or Descending.
  4. Select the plus icon to add another rule. Select the trash icon beside a rule to remove it.
  5. Drag a rule by its handle to change which rule applies first.
  6. Select Apply.

Select Reset All in the sorting window to clear every rule and return to the default order.

There is no save or preset control for filters. Assisterp keeps the filters you last applied to a module in your browser and restores them the next time you open that list, so a list can open already narrowed. If results look incomplete, clear the filter chips or select Reset All in the filter window before assuming records are missing.
