Automate retainer renewals and top-ups
Billing managers and firm owners can keep client retainers funded — finding clients whose wallet balance is running low, issuing top-up invoices, and renewing expiring annual contracts.
Find clients who need a retainer top-up
Section titled “Find clients who need a retainer top-up”- Open Accounting > Wallet.
- Use the Balance filter to find clients under a chosen amount (such as balance under $500).
- Identify clients who need a top-up before their next service period starts.
There is no automatic alert when a client’s balance drops below a set amount — this is a manual check you run on the wallet list.
Issue a retainer top-up invoice
Section titled “Issue a retainer top-up invoice”- Open Invoices and payments and select Add (the plus icon).
- In Billing To, choose the client.
- Check the box labeled This is a retainer (deposit) invoice. The form confirms: Retainer invoices have no tax. Funds are added to client wallet when paid.
- Add an invoice line for the top-up amount.
- Select Save and Send to email the invoice to the client.
When the client pays, Assisterp credits the amount to their wallet automatically (see Wallet and retainer invoices).
Renew an expiring annual contract
Section titled “Renew an expiring annual contract”- Open Contracts and engagement letters and find the expiring contract.
- Select Duplicate to start a renewal draft from it.
- Update the term dates and pricing, then save.
- On the new contract, select Setup E-Signature to send it to the client for signing.
