Leads and prospects

Practice managers, business development staff, and admins use Leads to work through prospective and returning clients before they become billable client accounts. Client-submitted service requests also arrive here — see Service requests for how to review and convert those.

Open Leads from the left sidebar. Each row is one lead, whether a client submitted it from the portal or your team added it directly.

Columns shown by default: Lead Code, Full Name, email, Lead Type, Lead From, Assignees, Status, and Created At. Is New Client is available from the column picker but hidden by default.

  • Lead Type is Individual Client, Business Client, or Open Corporation.
  • Lead From shows whether the lead came from the Client Portal or was added from the Admin Portal.
  • Status is New, In Progress, Converted, or Rejected. The column displays a converted lead as Converted/Closed.

Quick filters above the list: Individual Client, Business Client, Open Corporation, New Client, Existing Client, Pending, and Converted/Closed. The list excludes converted leads by default — select Converted/Closed to bring them back into view.

Use this when you want to start a lead yourself instead of waiting for a client portal submission — for example, after a phone call or a referral.

  1. Open Leads.
  2. Select Add (the plus icon).
  3. Under Client Type, choose New Clients to start a lead with no existing record, or For Existing Client to attach it to a client already on file and pick that client under Select Client.
  4. Choose the service the lead is for, then fill in Contact Information for the person submitting it.
  5. Depending on the client type, fill in Client Information (individual), or Business, Executive, and Shareholder (business or open corporation). Use + Add Executive or + Add Shareholder to add more than one.
  6. Fill in the Service step.
  7. Select Next to move between steps, Skip to move on without finishing a step, or Save as Draft to save your progress and come back later. Select Submit on the last step to finish.

Open a lead and, on its Contact Information tab, select Select Assignee to add or remove the employees working the lead. Assigned employees also show in the lead’s Assignees column on the Leads list.
