Client status, assigned members, bulk actions, and service audits
Firm owners, practice managers, and account managers can use this guide alongside Clients to change a client’s status, assign staff to a client, update many client records at once, and check whether a service’s recurring jobs match its expected schedule.
Client status
Section titled “Client status”A client record (Individual or Business) is either Active or Inactive. There is no separate onboarding, paused, or archived state — a client record is created once a lead converts, and stays Active until someone marks it Inactive.
To change status, select the checkbox next to one or more rows on Clients > Individual or Business, then use Action — see Update several clients at once below.
Assign staff to a client
Section titled “Assign staff to a client”Instead of naming an individual employee on every job, a client record can carry four staff assignments that your firm fills in once:
- Account Manager
- Bookkeeper
- Communicator
- Assistant
To set them:
- Open a client record (Individual or Business) and open its Assigned Members step from the edit flow, or select the edit icon on the Assigned Member’s Details card on the client’s home page.
- Search for and select an employee for each role that applies. Only Account Manager is required.
- Select Save, or Save & Next to continue to the next step.

Update several clients at once
Section titled “Update several clients at once”Use this when a change — a status update, a new tag, a different Account Manager — applies to many client records at once instead of one.
- Open Clients > Individual or Business.
- Select the checkboxes next to the client rows you want to change (or use the header checkbox to select the page).
- Select Action.
- Choose the field to update. Available fields are Status, Tags, Account Manager, Bookkeeper, Communicator, Assistant, and Service, plus Marital Status on Individual or Business Type and Business Nature on Business.
- Set the value and apply it.
Administrators also see a Delete button when rows are selected, for bulk-deleting client records.
Audit a service’s job schedule
Section titled “Audit a service’s job schedule”Use this to check whether a client’s recurring service has a job for every period it should, especially after a backdated start date or a change to its schedule. - Open a client record and open its Services tab.
- On the service you want to check, open the row menu and select View Audit.
- Review the summary: Expected Periods, Active Jobs, Missing, Duplicates, Unexpected Future, and Next Date Check.
- Scroll down for the period-by-period detail: which periods are missing a job, which have duplicate jobs, which existing jobs matched, and which jobs fall outside the expected schedule.
View Audit is read-only — it reports where the schedule and the generated jobs disagree, so you know what to fix, but it does not create or change jobs itself.
